Fellowship One: Children's Check-In
What is Fellowship One?
F1 is our new web-based church management system. It is designed to streamline communication and administration so that leadership can spend more time doing ministry and less time doing administration. F1 also centralizes check-in for families, increases security, tracks visitors more effectively and provides leaders with better information to minister to
How do I use the new system to check in my children?
If you have used our nursery check-in system, you are already ahead of the game! For the month of December each check-in kiosk will be staffed by a friendly, helpful person who will assist you as you learn how to use our new system. All you have to do is give your last name or the last four digits of your home phone number. Starting in January there will be one attendant per station.
Where are the check-in stations located?
It is our goal to serve you as quickly and efficiently as possible by providing 5 check-in kiosks in 3 strategic locations. All the kiosks, at this time, are on the upper level. 2 are in the north hallway (by the nursery), 2 in the south hallway (by the Kid Zone) and 1 at the welcome desk. The station at the welcome desk is for visitors only so that our welcome team can spend a little extra time with them, answer questions and bring them to their rooms.
Can I check all my children in at one station?
Yes! We encourage parents of nursery children to use the station in their hallway. Check-in will take a little longer for this age group due to all their paraphernalia. Otherwise, feel free to use the one that is most convenient for you and your family.
Why is my child issued two name tags at check-in?
Your child will receive one name tag which should be placed on the back of nursery children and the front of all others. The 2nd name tag will be placed on the class roster in each room. When you pick up your child, their name tag will be removed and placed on the roster next to the first tag. In the event of an emergency evacuation, the class roster will have an accurate, upto-date record of who is present.
Will we be using bar codes?
We will begin issuing bar coded key tags on January 8. You can obtain one key tag per parent if you do not already have one from past nursery checkin. Your former nursery key tag will need to be reassigned to your household at any station. We’ll be using up our leftover supply of tags so they are all labeled “Accelerate”.
What happens if you need to page a parent?
When you bring your child to class, you will be asked to indicate where you will be. If you are in a classroom, someone will be sent to get you, or we can call your cell phone if you record your number. If you are in the Worship Center, your security code will be displayed on the screens. This is a random number that will change each week.
How do I pick up my child?
At check-in each family is assigned a random security code that is printed on the child’s name tag as well as parent’s receipt. To pick up your child the receipt must be shown to your child’s adult teacher. The teacher will match the security code to your child’s name tag. The child’s name tag will be placed on the class roster to indicate the child was picked up. One check-in receipt is applicable for all your children. The teacher will not retain the receipt. This pick up procedure will be required for all infants through 4th graders.
What about 5th-6th grade kids in Surge?
Preteens will be the only group allowed to check themselves in. They will receive one name tag that we would like them to wear but will not receive a receipt. This group is released on their own recognizance after class.
What happens if I lose my receipt?
We encourage you to keep track of your receipt by placing it in the same place each week. You may even want to stick it on your clothes. In the unlikely event you lose your receipt, you must locate one of the following Children’s Ministry leadership individuals: Joan Ziebarth, Bre or Casey Pilon, Mark Neubauer or Kristy Kratky. You will be asked to fill out a form and show your driver’s license or other photo ID in order to pick up your child. While we recognize the inconvenience, please understand this is a key part of the integrity of the security for you and all the children in our care.
What about visitors?
Visitors with children will all be directed to the Welcome Desk. If your family brings another child with you, the child may be checked in by an attendant in the south or north hallway. The same is true if you are registered and have added another child to your family.
Can we bypass the check in process?
No! Because we take the care and security of your children very seriously, all children must be checked in. This is also the method we will use to track attendance.
Do I have to continue to fill out a paper registration form each year?
Yes! We need to have a current copy of your media and medical release on file. While your child will be in our system and able to be checked in without an updated registration form, we will bug you each time you visit a kiosk. Guests will be asked to fill out a registration form after 3 visits.
